Notifications
Overview
Notifications keep you informed about activity that involves you across your Qability QMS workspace — documents being approved, tasks assigned to you, workflow steps that need your action, and more. Each notification points to the item it relates to, so you can jump straight to the document, record, task, or workflow that needs your attention.
You can see notifications in two places: a quick bell menu available from anywhere in the app, and a full Notifications center that lists everything you have received.

The bell icon shows a red count badge whenever you have unread notifications. The badge counts up to 99 and then displays 99+.
Read and unread
Every notification is either unread or read.

Opening a notification automatically marks it as read.
Notification types
Each notification has a type that determines its icon and color, so you can recognize at a glance what it is about. Your workspace may use the following types:

| Workflow action required | A workflow step is waiting for you to act |
| Record assigned | A record has been assigned to you |
| Task assigned | A new task has been assigned to you |
| Task reassigned | A task has been reassigned to or from you |
| Task status changed | The status of a task you follow has changed |
| Task due tomorrow | A task assigned to you is due the next day |
| Document message | A new message was posted on a document |
| System | A general or system-level message |
The exact set of types you receive depends on how your workspace is configured and which features your team uses. Notifications you do not have access to act on will simply not be sent to you.
How to view your notifications
- Select the bell icon in the top bar. If you have unread notifications, a red badge shows how many.
- The bell menu opens with a preview of your most recent notifications.
- Select any notification to open the item it refers to.
- To see your full history, select View all notifications at the bottom of the menu. This opens the Notifications center.
How to open the item a notification is about
- Open the bell menu or the Notifications center.
- Select the notification.
- If the notification is linked to a document, record, task, or workflow, the app takes you straight to that item. The notification is also marked as read at the same time.
Some notifications (for example, general System messages) are informational only and do not link anywhere. Selecting them simply marks them as read.
How to filter to unread notifications
- Open the Notifications center.
- Use the tabs near the top of the page:
- All — shows every notification you have received.
- Unread — shows only notifications you have not yet read.
- Select a notification from the filtered list to open it.
If there is nothing to show, the page displays a friendly empty state — either "No unread notifications" or "No notifications yet."
How to mark notifications as read
You have two ways to mark notifications as read:
Mark a single notification as read
- Open the notification from the bell menu or the Notifications center.
- It is marked as read automatically as it opens.
Mark everything as read
- Open the bell menu or the Notifications center.
- Select Mark all read (in the bell menu) or Mark all as read (in the Notifications center). This option only appears when you have unread notifications.
- The unread count clears and the bell badge disappears.
The unread count at the top of the Notifications center and the red badge on the bell always reflect the same number, so you can rely on either one to know how many items still need your attention.
Tips
- The bell badge updates in real time, so you do not need to refresh the page to see new notifications arrive.
- Notifications are personal to you — each person sees only the notifications meant for them.
- Use the Unread tab as a quick to-do list of items that still need a look.
