My Tasks

Overview

My Tasks is your personal inbox inside Qability. It gathers every item that has been assigned to you from across the system — document approvals, nonconformance and CAPA steps, change requests, training, scheduled inspections and logs, flagged log entries, and information requests — into one list so nothing slips through. Instead of hunting through each module, you open My Tasks, see what is due, and act on it.

The page shows only the work assigned to you. When you open My Tasks filtered to training, the page is titled My Trainings and shows only your training items.

Key concepts

Task statuses

Each task carries a status that tells you whether it still needs your attention. You can filter the inbox by these statuses.

StatusWhat it means
AssignedThe task is waiting on you to act.
ApprovedYou approved the item; the task is complete.
RejectedYou rejected the item; the task is complete.
Changes RequestedYou sent the item back asking for changes.

A task that has been finished shows a green Completed date in place of its due date.

Entity types

The Entity Type column tells you what kind of work the task is. The same inbox can hold many different kinds at once.

Other fields

FieldMeaning

TypeThe sub-type of the item (for example, the document or nonconformance type).
Due DateWhen the task is due. Overdue dates appear in red.
StatusThe task's current status (see above).
CreatedWhen the task first landed in your inbox.

How to find a task in your inbox

  1. Open My Tasks from the navigation.
  2. Browse the list. By default the newest tasks appear at the top.
  3. To search, type in the search box at the top and enter a title or reference number (such as a document or nonconformance number). The list narrows as you type.
  4. To show only one status, open the Status menu in the toolbar and choose a status (for example, Assigned to see only what still needs your action). Clear the menu to see everything again.
tip

The Due Date and Created columns are sortable on the desktop view. Click a column header to reorder the list — for example, to bring the soonest due dates to the top.

How to filter to a single task kind

Some areas of Qability open My Tasks already focused on one kind of work — for example, training. When the inbox is opened this way, the heading changes (such as My Trainings) and only that kind of task is shown. Open the inbox from its dedicated entry point to see just those items, or open the main My Tasks entry to see everything together.

How to complete a task

Most tasks are completed by opening the item and acting on it.

  1. In the inbox, click the task's Item title (or tap the card on a phone or tablet).
  2. Qability takes you to the right place for that kind of task:
    • Documents and Log Books open the item with Approve and Reject buttons. If the step requires a signature, you are prompted for your electronic signature.
    • Nonconformances, CAPAs, and Change Requests open the record so you can act on your step.
    • Training opens your training to complete it; Training Verification opens the verification screen.
    • Inspection / Log tasks open straight into the form — submitting the form completes the task.
    • Flagged Log tasks open the related log entry.
  3. Information request tasks are handled right inside the inbox. Click the task to open the request, then respond or acknowledge without leaving the page. You can reopen a completed information request later to re-read the question and reply.

Once you act, the task's status updates and a green Completed date replaces the due date.

Tips

note

Due dates that have passed are shown in red so overdue work stands out. Sort by Due Date and clear the search box to see your most pressing items first.

My Tasks shows only items assigned to you. If you expect a task that is not here, confirm with the person who owns the workflow that it was routed to your account.
